Billing Specialist

PURPOSE AND SCOPE: To handle accounting duties related to customer invoicing and collections, sales tax filing and payments and contracts.

Accounts Receivable Invoicing

  • Transmit, manage meal contract changes, and review all customer invoicing
  • Process REI Invoices for billing to customers including Special Events (all non-contracted events)
  • Compare actual invoicing to budget/forecast by house; Review with Director of Finance any variances and make necessary corrections

Collections

  • Handle all customer collections
  • Mail statement with QuickBooks letter
  • Update collections status on Open A/R Reports (weekly)
  • Discuss with Director of Finance (Bi-weekly)
  • Create and execute action plans for collections

Taxes/Set-up & Filing

  • Perform New State Set-up - Register:  To Do Business In; Worker's Compensation; Unemployment Insurance; Withholding Tax; Sales Taxes
  • Research all non-payroll tax notices
  • Ensure all states taxes are current on a monthly, quarterly or annual basis

Sales Tax

  • File and Pay all State Sales Tax returns
  • Register and File in New States

Legal

  • Manage all client contracts (file, finalize, edit)
  • Management/renewals of agreements

The employee may occasionally lift and/or move up to 10 pounds and rarely lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision and distance vision.
